Title: Executive Administrative Assistant
Location: Falls Church, Virginia, USA
Start Date: As soon as available, this is a full time permanent staff position
Job Summary: Exec Admin provides advanced administrative and business management support to the Development Business Area Team (BAT).
Principle Accountabilities:
- Maintains, and as appropriate, executes/coordinates functions during the absence of the senior management while keeping the individual abreast of daily activities
- Serves as the Time and Labor System (TLS) and Deltek (expense reports) administrators for the Development BAT.
- Coordinates management of facility in Alexandria, VA including usage of temporary work spaces located at the corporate headquarters facility in Falls Church, VA.
- Provides oversight of the Development BAT's overhead budget spending in accordance to the overhead allocation.
- Organizes, prioritizes and summarizes the content of incoming materials, specially gathered information and special requests and outgoing correspondence
- Anticipates and prepares daily schedule including calendar of appointments, secures business travel reservations and delegated action items.
- Creates, maintains, updates and reconciles spreadsheets to support program and analysis for senior management.
- Prepares correspondence and reports as directed by senior management, as well as independently, to corporate office, applicants, associates, vendors or employees.
- Purchases equipment, supplies and represents assigned department or contract to vendors or suppliers.
- Organizes and may chair conferences, meetings or company events assigned to the business.
- Provides guidance to employees and management on business objectives and matters requiring discretion.
- Utilize independent judgment on matters of significance.
- Assists with human resources functions
Required Knowledge & Skills:
• Familiarity and knowledge of the international development industry and community required; knowledge of the international development organizations such as U.S. Agency of International Development (USAID), United Nations (U.N.) as well as donor organizations, preferred.
• Good judgment and professional presence, required.
• Cultural awareness, sensitivity, and ability to work within an ethnically diverse client/team structure.
• Ability to interact and collaborate effectively with BAT staff, COEs, clients, vendors and others.
• Skilled in operating office technology such as Microsoft Office applications.
• Excellent communication, effective leadership and interpersonal skills.
• Works independently, and as a team player, with good decision-making skills.
• Handles sensitive information and data appropriately.
• Attention to details and able to handle multiple tasks independently.
Required Experience & Education:
- Minimum nine (9) years of executive admin assistance reporting to a senior executive.
- Previous international development industry-related experience for an international company preferred.
- International development industry experience, preferred.
- Prior experience working with international donors, preferred.
- Bachelor's degree in an associated discipline. Two (2) years of experience in related field can be substituted for each year of the four (4) years of college.
- US citizenship or Authorization to work in the US is required
